1. Who we are

ServerExperte ("we", "us", "our") is the controller of the personal data we collect through our website, client portal and the services we deliver. Registered office: 71 Shelton Street, London WC2H 9JQ, United Kingdom. You can contact us at privacy@serverexperte.net.

2. What personal data we collect

We collect only the information we need to deliver our services to you:

  • Account data — your name, email address, organisation, phone number and login credentials when you create an account.
  • Contact and billing data — billing address, payment information (processed by our payment providers, not stored by us in full), and communication history.
  • Technical data — IP address, browser type, pages visited and device information collected through standard server logs and cookies.
  • Service data — information you share with us as part of delivering our services, including access to systems and data you ask us to protect or recover, which we process on your instructions.

3. How we use your data

  • To set up and administer your account and deliver the services you request.
  • To invoice you and process payments.
  • To respond to enquiries, support requests and emergencies.
  • To operate and secure our website and portal, and to meet our legal and regulatory obligations.
  • To send you service notifications and, where you have consented, marketing communications. You can opt out at any time.

4. Lawful bases we rely on

Under data protection law we rely on the following lawful bases for processing your data: the performance of a contract with you (delivering services and processing payments); our legitimate interests (securing our systems, improving our services and responding to enquiries); legal obligation (for example, tax and accounting records); and consent (for marketing, which you can withdraw at any time).

5. Cookies and similar technologies

Our portal uses cookies to keep you signed in and to remember preferences. These are strictly necessary for the portal to function. We may also use optional analytics cookies to understand how visitors use our site. You can control or delete cookies through your browser settings; disabling necessary cookies may prevent the portal from working correctly. More detail is available on request.

6. Who we share data with

We do not sell your personal data. We share data only where necessary:

  • With payment providers to process transactions.
  • With our professional advisers, insurers and subcontractors, under confidentiality obligations.
  • With law enforcement, regulators or courts where we are legally required to do so.

7. How long we keep data

We keep your account and billing data for as long as your account is active, plus the retention periods required by law (for example, tax records). Service-related logs are retained in line with our security practices. We delete or anonymise personal data when it is no longer needed for the purposes for which it was collected.

8. How we secure your data

We use appropriate technical and organisational measures to protect your data, including encryption in transit and at rest, access controls, monitoring and staff training. Access to your systems and data in the course of delivering services is limited to the engineers who need it.

9. Your rights

You have the right to access, correct, export or delete your personal data, to object to or restrict certain processing, and to withdraw consent where processing is based on consent. To exercise any of these rights, contact us at privacy@serverexperte.net. We will respond within one month. You may also update account details yourself in the client portal.

10. International transfers

Where we transfer personal data outside the UK or the EEA, we ensure appropriate safeguards are in place, such as the UK or EU standard contractual clauses, so your data continues to be protected to the same standard.
