Account Registration Policy

Who can register for a ServerExperte account, what we need from you, and how accounts are managed.

1. Purpose

This Account Registration Policy explains how and why ServerExperte issues client accounts, and the responsibilities that come with them. It applies to every account on our client portal, whether you are a managed client or a prospective client exploring our services.

2. Who may register

You may register for an account if you are:

  • An existing or prospective ServerExperte client, or an employee, contractor or authorised representative of one; or
  • Raise a support enquiry, incident or recovery request with us.

You must be at least 18 years old and acting on your own behalf or with authority to act on behalf of your organisation.

3. Account types

  • Prospective client accounts — let you raise enquiries, request quotes and open general support tickets. These are available to anyone who meets the eligibility above.
  • Managed client accounts — full accounts for organisations under a services agreement, providing access to tickets, invoices, service status and any configured services. These are created or upgraded as part of onboarding.

4. Information we require

To set up an account we need your name, a valid email address and, for business accounts, your organisation name. We may also ask for a business phone number or correspondence address for verification or billing. We only collect what we need — see our Privacy Policy for full details.

5. Verification

We verify email addresses as part of registration. For managed client accounts we may additionally verify your identity and your authority to act for the organisation. Where we cannot verify an account to our satisfaction, we may limit what the account can do until verification is complete.

6. One account per organisation

We aim to maintain a single primary account per organisation. If your team needs additional users, contact us and we will set up sub-accounts or contact permissions rather than creating duplicates. Multiple accounts for the same person or organisation may be merged or closed.

7. Responsible use of accounts

Account holders must keep their credentials secure and not share them. You are responsible for activity on your account and must report suspected compromise immediately through our emergency channels. Accounts must be used in line with our Terms of Service and Acceptable Use Policy.

8. Right to refuse, suspend or close

We may refuse, suspend or close an account where we reasonably believe it was created with false information, is used for unlawful or abusive activity, breaches our Terms or Acceptable Use Policy, or otherwise creates risk to our systems, staff or clients. We will notify the account holder wherever practical and provide an opportunity to respond.

9. Inactive accounts

We may mark accounts as inactive after an extended period of no activity. Managed client accounts are maintained for the life of the services agreement. If your account is closed or inactive, you can re-register when you next need our services.

10. Data protection

We process the personal data you provide in accordance with our Privacy Policy. You have the right to access, correct or delete your data and can update your account details at any time in the portal.
